Repeat services can be run from an individual client record or you can run repeat services in bulk if you have multiple clients who have regular services in the schedule. 

 

If a client requires a service, such as a dog walk, to be carried out on a regular basis, then this can be set up as a repeat service.

You can then run repeat services for your chosen date range - for example, the coming month, which will add the service to the schedule according to the criteria you have specified when creating the repeat service on the client's account.

How do I Run Repeat Services for an Individual Client?

 

Once you have set up a repeat service in a client's record, you can run the repeat service for a time period of your choice, eg. for February.

            ON DESKTOP:

Navigate to Clients > Repeat Services

STEP 1​​​

  • Click "Run Repeats" from the navigation pane on the left.

  • Enter the period for which you want to view available repeat services. 

    • This is the date range for which your selected services will be run (scheduled), and selected services for these dates will be put into one service order. ​

  • Note that only "Active" repeat services can be run. If you wish to run a repeat service which is currently listed under "Inactive" services, then you need to make the repeat service active first. See editing a repeat service for help on this.

  • The green "Ready" box in the status column indicates that none of the services listed has been run for the selected date range.

  • To run all active repeat services for a client in your chosen date range, check the box in the column heading. This will automatically check the box next to each service.

  • If you do not require all services to be run for this date range, check the box to the right of each service which you do want to run.

  • When all the services you want to run are checked, enter a label for the Service Order (such as "March Dog Walks"), and click "Run Services".

  • If you run more than one service simultaneously, then the services in both of those repeat services will be added to the same Service Order. If you want the services to be on separate service orders, then you need to run repeat services for them one at a time.

  • Once a repeat service has been run for the selected date range, this will be indicated by an orange "Already Run" flag next to the service.

  • You can re-run repeat services if you wish, by pressing the "Re-Run Services" button. Generally, this would just create duplicate services but if, for example, you discover errors in your repeat service that mean it would be easier to start again, then you can delete the services, correct the errors and then re-run repeat services. 

  • NOTE: if you re-run repeat services in error you may create duplicated service items in your schedule, so you should check this to ensure you delete any services that shouldn't be there.

STEP 2

  • In the example below, you can see that a Service Order has automatically been created in the client record for dog walks throughout March on every Mon, Wed, Fri. This order can then be used to create an invoice in the usual bulk invoicing at the end of the month.

STEP 1

  • Tap the Navigator and select Clients > Search

STEP 2

  • Navigate to your client's account from the Clients search page.

  • In the left-side navigation pane, tap "Repeat Services" then tap "Run Repeats".

STEP 3

  • Enter the period for which you want to view available repeat services. 

  • This is the date range for which your selected services will be run (scheduled), and selected services for these dates will be put into one service order. ​The date range is generally your Billing Period for your repeat services. 

STEP 4

  • Select the repeat service(s) you want to run for the date range entered by putting a check in the checkbox tot he right of the repeat service.

  • Enter an Order label for the service order if needed, such as "March Dog Walks".

  • Tap "Run Services".

  • You'll notice that the "Ready" indicator will change to "Already Run" letting you know you have run this repeat service for this date range.

  • When you tap "Run Services", the services are added to the Admin/Staff/Client schedules and a service order has been created for the client that holds all of the services for the given date range. An invoice can then be created from the service order.
