Service Orders holding services that have been scheduled but not yet invoiced are automatically in the "Quote" status. You can add an "Admin Note" at quote stage.

 

  • You can make a note on a quote or an invoice reminding you to contact the client about something on a certain date.​

  • You may need a reminder to send out a quote or an invoice on a particular day​.

  • You may like to record notes when a client has not paid their bill so that your administrative colleagues can share that information.

Admin Notes are visible on the admin interface and can be viewed by the admin team, or any team leaders who have access to view quotes and/or invoices.

 

How do I add an Admin Note to a Quote?

 

  • When viewing the Quote, click on the option "Admin Notes" from the sub menu.

            ON DESKTOP:

Navigate to Clients > Orders & Invoices

STEP 1​​​

  • From the client's orders screen, identify the order you wish to view the quote for by its name, or the service dates.

  • Click the blue link with the word "Quote" in the "Invoice" column to view the quote.

STEP 2

  • Type out your note. If you include a date at the beginning of the note, it can be sorted/viewed in date order in the bulk invoicing and unpaid invoices report.

  • Click "Update Admin Notes" to save the note to the quote. When the quote is converted into an invoice, the admin note will be carried forward with it.

  • You can go back and update or add to the note at any time.​​

STEP 3

  • Go to Invoicing > Bulk Invoicing and view your quotes for a date range.

  • Here you'll see all quotes with Admin Notes for the given date range.

  • Once the quotes have been converted to invoices, the Admin Notes will carry over to the Outstanding Invoices report.

ON MOBILE:

STEP 1

  • Tap the Navigator and select Clients > Search

STEP 2

  • Navigate to your client's account from the Clients search page.

  • In the left-side navigation pane, tap "Orders & Invoices".

STEP 3

  • From the client's orders screen, identify the order you wish to view the quote for by its name, or the service dates.

  • Tap the blue link with the word "Quote" in the "Invoice" column to view the quote.

STEP 4

  • Tap the Navigator icon, then tap "Admin Notes".

STEP 5

  • Write your Admin note.

  • Admin notes allow you to document the steps you have taken to confirm that a pet sitter is available for the service, or notes regarding payment of billing.

  • Add a date to your Admin note for clarification and to keep notes in chronological order.
