After adding services to a service order, you may need to email the scheduled services to the pet sitter(s), to the client, or to both. This means that you are able to confirm one or more scheduled services to your staff members and/or your clients.

For example, you may need to email the assigned pet sitter(s) to re-confirm their availability for the scheduled services in the service order. Or, you may need to email the client to confirm that recent changes you have made to the order are correct.

 

Using the "Email..." button in the service order, you can email some or all of the services in the order to the sitter(s) or to the client. 

How do I email sitters and/or a client associated with a service order?

            ON DESKTOP:

Navigate to Clients > Orders & Invoices > click on a service order

STEP 1​​​

  • Navigate to the client's service order.

  • Select one or more services in the left column that you would like included in the email.

  • Click "Email...".

STEP 2

  • In the Email box, select "Send to Client" if you would like to email the client, and/or select "Send to Sitters" if you would like to email the sitter(s) associated with the jobs you selected in the service order.

  • Choose the email template you would like to send from the "Email Template" drop-down menu (for more information about Email Templates, see Email Templates).

  • Add an Email Subject for the email to be sent; the Email Subject text will be included on the subject line of your email.

  • Review the Email Body and make any necessary changes before sending the email.

  • Click "Send"

Your software database will come with many pre-written email templates. But as we currently have no mechanism for distributing new email templates to databases, you may need to manually create new email templates yourself in order to select an email template from the drop-down menu. For more information about Email Templates, see Email Templates.

Under Admin > Supporting Data > Email Templates > All Merge Codes DO NOT DELETE, you will find all merge codes that can be used in email templates when emailing clients or sitters from the service order.

Merge codes can be used to insert a Job Table into the email, which displays the selected services in a table format in the email that is sent to the sitter(s) or client.

 

The Job Table merge codes are:

 

{JOB_TABLE}
Inserts a table of selected services, ordered by date and time.
 
{JOB_TABLE_SITTER}
Inserts a table of selected services, ordered by date and time, including the Sitter.
 
{JOB_TABLE_CLIENT}
Inserts a table of selected services, ordered by date and time, including the Client.
 
{JOB_TABLE_CLIENT_SITTER}
Inserts a table of selected services, ordered by date and time, including the Client and Sitter.

In this example, we used the merge code {JOB_TABLE_CLIENT_SITTER}, so the email received displays a table of selected services, ordered by date and time, including the Client and Sitter.

ON MOBILE:

STEP 1

  • Tap the Navigator and select Clients > Search

STEP 2

  • Navigate to your client's account from the Clients search page.

  • In the left-side navigation pane, tap "Orders & Invoices".

STEP 3

  • Select "Send to Client" if you would like to email the client, and/or select "Send to Sitters" if you would like to email the sitter(s) associated with the jobs you selected in the service order.

  • Choose the email template you would like to send from the "Email Template" drop-down menu (for more information about Email Templates, see Email Templates).

  • Add an Email Subject for the email to be sent; the Email Subject text will be included on the subject line of your email.

  • Review the Email Body and make any necessary changes before sending the email.

  • Click "Send".

  • If your email included Merge Codes, the data will be inserted into your email (see above).
