Once an invoice has been created, you can add an "Admin Note" at invoice stage, or edit an existing admin note that was added at quote stage. 

 

  • You can make a note on a quote or an invoice reminding you to contact the client about something on a certain date.​

  • You may need a reminder to send out a quote or an invoice on a particular day​.

  • You may like to record notes when a client has not paid their bill so that your administrative colleagues can share that information.

Admin Notes are visible on the admin interface and can be viewed by the admin team, or any team leaders who have access to view quotes and/or invoices.

 

How do I add or edit an Admin Note on an Invoice?

            ON DESKTOP:

Navigate to Clients > Orders & Invoices > Click on the Invoice

STEP 1​​​

  • From the client's Orders & Invoices screen, identify the order you wish to view the Invoice for by its name, the invoice number, or the service dates.

  • Click the blue link with the word "Invoice No. XXX" in the "Invoice" column to view the invoice.

STEP 2

  • From the Invoice screen, to edit the note – or add a new note – click on "Admin Notes" in the menu.

  • Type out your note, or add another note under the first one. 

  • Click "Update Admin Notes" to save the note to the invoice. 

  • You can go back and update or add to the note at any time.

How do I view Admin Notes in the Unpaid Invoices report?

  • Go to Invoicing > Unpaid Invoices and click "This Month End". 

  • Or enter a date and click "Show Report". 

  • Your Admin Notes will be displayed below the client's name and Invoice number.

  • To edit the note, click on the invoice number to view that invoice. You can access the Admin Note from there.

ON MOBILE:

STEP 1

  • Tap the Navigator and select Clients > Search

STEP 2

  • Navigate to your client's account from the Clients search page.

  • In the left-side navigation pane, tap "Orders & Invoices".

STEP 3

  • On the Orders & Invoices page, tap on the Invoice No. for which you want to view, add, or edit the Admin Notes. 

  • Tap the Navigator from the Invoice page, then tap "Admin Notes".

STEP 4

  • View, add, edit, or delete the Admin Notes here. 

  • Tap "Update Admin Notes" if you made any changes. 

STEP 5

  • Admin Notes are also visible on the Invoicing report, Invoicing > Outstanding Invoices > set date range.
