Using the bulk invoicing facility, it is possible to save time by sending many quotes in a batch with one click. This might be useful for sending all your clients who have a particular payment type a quote three days prior to invoicing so they are have time to question any prices, for example.

 

In this scenario, we are sending quotes to a number of recurring dog walking clients who are billed on a monthly basis after service is complete, so their Payment Type is set to "Monthly Invoiced". We want to email them a Quote for the upcoming month to confirm the services they have scheduled, and the associated prices.

            ON DESKTOP:

Navigate to Invoicing > Bulk Invoicing

STEP 1​​​

  • Choose “Monthly Invoiced” from the payment type drop down.

  • Input a date range and click "Reload".

    • In this example, we have selected all of our Monthly Invoiced clients who have services scheduled for the month of December 2019.​

STEP 2

 

The screen is now showing quotes/orders that are yet to be invoiced with a payment type of "Monthly Invoiced" for the dates selected. We can use these results to send quotes to all clients in a single action.

 

  • Check the selection box in the column heading to select all quotes.

  • Click "Email Quotes...".

STEP 3

  • If the email template for "Quotes" is not automatically displayed, select it from the drop-down.

  • Make any edits to the Email Subject or Email Body that are required. 

  • Click "Send Quote(s)".

  • All selected Monthly Invoiced clients have now been emailed a quote for their upcoming December 2019 services. 

 

 

How do I set it to automatically display my "Quote" Email Template?

 

ON MOBILE:

STEP 1

  • Tap the Navigator and select Invoicing > Bulk Invoicing

STEP 2

  • Select "Monthly Invoiced" from the Payment Type drop-down.

    • In this example, we want to send quotes to our recurring dog walking clients who pay monthly after service is complete. ​

  • Tap the drop-down arrow to set the date range for the report.​

    • We set a custom date range of December 1-31, 2019 because we want to send quotes for the upcoming month (Dec 2019).

  • Tap "Reload".​

STEP 3

  • In the grey column header, there is a "select all" checkbox. Tap this checkbox so that all of your clients' quotes are selected.

  • Tap the "Actions" drop-down.

  • Tap "Email Quotes". 

STEP 4

  • Select the "Quote" Email Template from the drop-down.

  • Confirm that the Email Subject and Email Body are as you want them. Make any changes necessary.

  • When ready, tap "Send Quote(s)".

  • Emails will be sent to all selected clients. The body of the email will be what was in the "Email Body" box. The itemized Quote document will be attached to the email as a PDF document.
