The Quotes screen includes details important to the client's account and amount due.

What do the columns mean on the Quote details screen? 

 

  • Below is an explanation of what you see on the quote details screen followed by how you find a client's quote:

Day

Contains the day of the week relating to the service.

Date

Contains the date of the service.

Description

This column contains the long description of the service item that is being quoted for.

Q

The total quantity of services being quoted for.

Unit

Is the amount charged for each individual service sold. 

Charge

Is the total amount charged. Charge = Qty x Net Unit. 

Payment Terms

This is a system generated paragraph that is based on the number of days that have been set in the Payment Types to determine when an invoice will be due for payment. See Payment Types for more information. The dates for when a payment becomes due can be viewed by downloading the Account Summary or by viewing the Home page of the client portal.

Contact Information

The information that appears on the Quotes details screen, as well as printed on the Quote PDF, can be customized (see Customizing Quotes) to suit your business needs and include as much or as little information as you wish. It is recommended that you include how you wish your clients to pay for their information.

 

If you are registered for paying Tax, it is a legal requirement in some countries to include your registered number on your invoice and this can be included here.

How do I find a Quote? 
 

            ON DESKTOP:

Navigate to Clients > Orders & Invoices

STEP 1​​​

  • From the client's orders screen, identify the order you wish to view the quote for by its name, or the service dates.

  • Click the blue link with the word "Quote" in the "Invoice" column to view the quote.

STEP 2

  • On the Quote page, there are options to view the PDF quote/invoice, change the payment type (which affects the due date for the invoice), email the quote, and create an invoice from the quote. 

  • More details about the client account can be viewed on the Summary tab.

  • Notes can be added about the quote on the Admin Notes tab.

ON MOBILE:

STEP 1

  • Tap the Navigator and select Clients > Search

STEP 2

  • Navigate to your client's account from the Clients search page.

  • In the left-side navigation pane, tap "Orders & Invoices".

STEP 3

  • From the client's orders screen, identify the order you wish to view the quote for by its name, or the service dates.

  • Tap the blue link with the word "Quote" in the "Invoice" column to view the quote.

STEP 4

  • View the contents of the Quote here, including the Day and Date of service, the description of the service, and the client charge and staff compensation.

  • To view options for the Quote, tap the Navigator in the upper right corner. 

STEP 5

  • After tapping the Navigator, you'll see options for the Quote in the menu.

  • The Summary shows a snapshot of the client's account.

  • Tap Admin Notes to access a notepad to add notes regarding the quote. See Admin Notes for more information. 

  • PDF Invoice allows you to download or print a PDF copy of the quote.

  • Tap Payment Type to view or edit the payment type for the quote. See Using Payment Types.

  • Email Quote and Create Invoice allow you to email the quote to the client or create the invoice from the quote respectively.
