Payment types can be applied to the client settings if, for example, you regularly invoice a client for dog walking after the service is complete. This means that all the client's quotes and invoices will automatically default to the payment type in their client settings. And you can set the due date by Payment Type. See Setting a Default Due Date when Creating your Payment Type. So you may set your recurring dog walking clients to the payment type "Monthly Invoiced". And you could set the due date for the "Monthly Invoiced" payment type to "0 days after invoice is sent". This means that the dog walking client's invoice is in effect "due upon receipt" of the invoice, which you would send after service is complete.

 

However, you may then wish to invoice your dog walking client for a different service than usual, with different payment terms. For example, your client usually orders weekly dog walks from you on an ongoing basis which you invoice at the end of each month in arrears (after the service is complete). They go out of town for a December vacation so they have requested home visits instead. You usually invoice home visits in advance, so you wish to change the payment type for this quote (and subsequent invoice) only. The payment type "Vacation" has a due date of "0 days before service start date". Which means that payment is due on the first day of service. 

 

How do I Change the Payment Type on an Individual Quote?​

            ON DESKTOP:

Navigate to Clients > Orders & Invoices

STEP 1​​​

  • From the client's orders screen, identify the order you wish to view the quote for by its name, or the service dates.

  • Click the blue link with the word "Quote" in the "Invoice" column to view the quote.

STEP 2

  • When you are viewing the quote details, click "Edit Payment Type" from the sub menu on the left.

  • If you know the correct payment type that will apply the settings to the quote, choose the alternative setting from the drop down. This will apply this payment type to this quote only.

  • If you know that the due date will be different, check the box for "Update Due Date" as well.

  • Click "Update Payment Type". 

  • In this example, we have changed a “Monthly Invoiced” dog walking client (who normally pays after service is complete) to the Payment Type “Vacation”. The “Vacation” payment type has a different due date associated with it under Admin > Supporting Data > Payment Types. Vacation clients are expected to prepay for services. We have also selected to “Update Due Date”.

ON MOBILE:

STEP 1

  • Tap the Navigator and select Clients > Search

STEP 2

  • Navigate to your client's account from the Clients search page.

  • In the left-side navigation pane, tap "Orders & Invoices".

STEP 3

  • From the client's orders screen, identify the order you wish to view the quote for by its name, or the service dates.

  • Tap the blue link with the word "Quote" in the "Invoice" column to view the quote.

STEP 4

  • To view options for the Quote, tap the Navigator in the upper right corner. 

  • Tap "Payment Type" to change the payment type for this quote.

STEP 5

  • From the "Payment Type" drop-down, choose the new payment type.

    • Some typical payment types are: Monthly Invoiced, Weekly Prepay, or Vacation.​ But payment types are fully customizable in PSP.

    • Monthly Invoiced refers to repeat clients who pay for one month of recurring service at a time, after service is complete.

    • Weekly Prepay refers to repeat clients who pay for a week of recurring service at a time, prior to service starting.

    • The Vacation payment type typically refers to clients who do not have repeat service; they pay either before or after their vacation services. 

    • Each of these payment types can have a different due date associated with it. See Setting a Default Due Date when Creating your Payment Type.

  • Check the box "Update Due Date" if you would like to update the due date according to the new payment type you've selected. ​

  • Tap "Update Payment Type" when done.
